About Inspection Tasks and Recommendations

Based on the results of an inspection, you might need to suggest that further action be taken. For example, if you inspect an area of a warehouse and notice that the roof is leaking, you may want to suggest that the ceiling tiles be replaced.

You can create a new Inspection Task record that indicates that the ceiling tiles need to be replaced, or you could create an Inspection Recommendation record to record the recommendation to replace the ceiling tiles. Your business processes will dictate whether you should create an Inspection Task record or a Recommendation record. For example, inspectors may need to report all recommendations to a supervisor for approval. The supervisor might then be responsible for approving the recommendation, creating an associated Inspection Task record, and assigning that Inspection Task record to the appropriate inspector.

Additionally, if the Thickness Monitoring license is active and TM Analyses exist for the Equipment records that you analyze in Inspection Management, you can specify that Inspection Task records be updated based upon Thickness Measurement records that you create in Thickness Monitoring. Specifically, the value in the Last Date field in the Inspection Task record will be populated with the value in the Measurement Taken Date field in the Thickness Measurement records that you create via the TM Measurement Data Entry page.

Access Inspection Recommendations

Steps: Access an Inspection Recommendation from the Inspection

Procedure

  • Access an Inspection Recommendation from the Inspection
    1. Access the Inspection Details section.
    2. Select Recommendations.
      The Recommended Actions section appears, displaying a list of Inspection Recommendations for the selected asset. You can now use the Recommended Actions functionality.
      The Inspection Recommendations are displayed based on the query stored in the following folder: Public\Meridium\Modules\Inspection\Recommendation Queries\Inspection Recommendation Details.
      Note: You can modify the query to add or remove columns from the Recommended Actions section. However, do not modify the ENTY_KEY or the Recommendation ID column.
  • Access an Inspection Recommendation from the Asset
    1. Access the Inspection Management Overview page for the equipment containing the Inspection Recommendation that you want to access.
    2. Select the Underlying Recommendations tab.
      The Underlying Recommendations section appears, displaying a list of open recommendations for the selected asset. You can now use the Recommended Actions functionality.

Create Inspection Recommendations

Procedure

  • Create Inspection Recommendation for Events
    1. Access the Inspection Details section.
    2. In the upper-right corner of the page, select .
      A new Inspection Recommendation datasheet window appears.
    3. Enter values in the available fields as required, and then select .
      A message appears, confirming that you have created an Inspection Recommendation. You can now use Recommended Actions functionality.
  • Create Inspection Recommendation for General Finding
    1. Access the Inspection Details section.
    2. Expand the General Finding section and select a General Finding record, and then select .
      A new Inspection Recommendation datasheet window appears.
      Note:
      • If you create a recommendation for a General Finding record, the Recommendation Headline field on the offline Inspection Record will be a concatenated value populated by the Inspection Profile and the Inspection Methods field of that General Findings record.
      • The Finding Basis and Finding Summary fields are disabled on the datasheet and populated only when the recommendation is created against a General Finding.
      • The Finding Basis field displays the selected Inspection profile items field caption in the General Finding record.
      • The Finding Summary on inspection recommendation displays finding summary from General Finding.
      • The Inspection recommendation creation is not allowed if you select multiple General Finding from the grid.
    3. Enter values in the available fields as required, and then select .
      A message appears, confirming that you have created an Inspection Recommendation. You can now use the Recommended Actions functionality.
  • Create Inspection Recommendation for Checklist Finding
    1. Access the Inspection Details section.
    2. Expand the Checklist Finding section and select a Checklist Finding record, and then select .
      A new Inspection Recommendation datasheet window appears.
      Note:
      • If you create a recommendation for a Checklist Finding record, the Recommendation Headline field on the offline Inspection Record will be a concatenated value populated by the category and the name field of that checklist Findings record.
      • The Finding Basis and Finding Summary fields are disabled on the datasheet and populated only when the recommendation is created against a Checklist finding.
      • The Finding Basis field displays caption of checklist category.
      • The Finding Summary on inspection recommendation displays finding summary from Checklist Finding.
      • The Inspection recommendation creation is not allowed if you select multiple Checklist Finding from the grid.
    3. Enter values in the available fields as required, and then select .

      A message appears, confirming that you have created an Inspection Recommendation. You can now use Recommended Actions functionality.

Modify the Date Filter for Inspection Recommendations

About This Task

In the Underlying Recommendations tab, the Underlying Open Recommendations and Recommendations Due for Implementation sections can be filtered using the Target Completion Date Filter, which is based on the value in the Target Completion Date field. If you do not modify these filters when accessing tasks or recommendations, the sections may appear to be empty. You can modify the date filters to display the tasks and recommendations that you want to access. By default, the selected date filter is initially defined by the administrator, but user preferences take priority once saved.

Procedure

  1. Access the Underlying Recommendations section.
  2. In the Underlying Open Recommendations or Recommendations Due for Implementation section, select .
    The Target Completion Date Filter box appears, displaying a list of date filters.
    Note: The date filters that appear in the Target Completion Date Filter box are initially defined by the administrator. If some date filters do not appear, an administrator can modify the filters in the Date Filters section of the Overview Configuration page in Application Settings.
  3. Select the date filter that you want to use.
  4. Select Apply.
    Inspection recommendations with a Target Completion Date that matches the selected date filter parameters appear.

    Your selection is saved as your preference.

    Note: Your saved preferences will always be used first, taking priority over the admin-defined date filter settings. If no user preference is saved, the admin date filter configuration will be used. Your selected date filter preference remains saved even if you log out.If you navigate away from the Underlying Open Recommendations and Recommendations Due for Implementation sections or refresh the page, ensuring the date filter you selected will always be applied. When you return to the Underlying Open Recommendations or Recommendations Due for Implementation section.

Manage Deferrals

Procedure

  1. Access the Inspection Management Overview page.
  2. Select and select Manage Deferrals.
    The Manage Deferrals page appears, displaying a list of deferrals for the underlying inspection tasks or recommendations.
  3. Select the check boxes next to the Deferral ID that you want to manage.
    You can change the state of a deferral or delete a deferral.
  4. Select an action:
    • Manage State:
      1. In the upper-right corner, select .
        The state control menu appears.
        Note: The state control is enabled only when you select the deferrals that are currently in the same state.
      2. Select a state that you want to change from the drop-down list, and then select Done.

        The state of the selected deferral is updated.

        Note: If an error occurrs while changing the state of the deferrals, a message appears displaying the errors.
    • Delete Deferral (s):
      1. In the upper-right corner, select .

        A confirmation dialog appears.

      2. Select Yes.

        The deferral is deleted.

        Note: You can not delete Deferral records that are in the following states: Approved, Rejected, or Archived.

About Deferring an Inspection Recommendation

There may be instances when a recommendation cannot be completed by the specified Target Completion Date due to various reasons. In this scenario, APM provides a workflow to request a deferral of the recommendation, along with the review and approval process as follows:
  1. An inspector requests the deferral of a recommendation, providing the reason and the desired deferral date.
  2. The inspection supervisor reviews the request and can approve or reject the request.
  3. If the deferral is approved, the following fields are updated in the Inspection Recommendation:
    • Original Completion Date: This field is populated with the value of the Completion Date field on the recommendation. This value is only updated after the approval of the first deferral.
    • Target Completion Date: This field is updated with the value of the Deferred Date field in the approved Deferral.
    • Deferred Completion Date Basis: This field is populated with the ID of the approved Deferral.
    • Is Deferred: This check box is selected to indicate that a Deferral has been approved for this recommendation.
    • Completion Comments: This field is appended with the value in the Comments field along with the Deferral ID and current date of the approved Deferral.
Important: You can defer only an approved Recommendation.
You can create multiple Deferrals for a single recommendation if required. However, the number of times a recommendation can be deferred is restricted and controlled by the Deferral Configuration for the Inspection Recommendation family.

Defer an Inspection Recommendation

Before You Begin

Ensure that the Enable Deferral check box is selected for the Inspection Recommendation family in the Deferral Configuration workspace.

Procedure

  1. Access the Inspection Recommendations section.
  2. Select the check box corresponding to the Recommendation that you want to defer, and then select the Defer button (). Or, select the Recommendation, and then select Defer.
    Important: You can defer only an approved Recommendation.
    The Add Deferral window appears.
  3. As needed, enter values in the available fields, and then select .
    The Deferral is saved, and the state management control is now displayed. If required, use the state transition control to request for approval. After approval, the Target Completion Date field is disabled.

Access the Inspection Recommendation Deferral History

Before You Begin

Ensure that the Enable Deferral check box is selected for the Inspection Recommendation family in the Deferral Configuration workspace.

Procedure

  1. Access the Inspection Recommendations section.
  2. Access the Recommendation whose Deferral records you want to access.
    The DEFERRAL HISTORY section appears at the end of the Inspection Recommendation, after the RECOMMENDATION DETAILS section.

Delete the Deferral of an Inspection Recommendation

Before You Begin

Ensure that the Enable Deferral check box is selected for the Inspection Recommendation family in the Deferral Configuration workspace.

About This Task

You cannot delete a Deferral that is Approved or Rejected.

Procedure

  1. Access the Inspection Recommendations section.
  2. Access the Recommendation whose Deferral records you want to delete.
    The DEFERRAL HISTORY section appears at the end of the Inspection Recommendation, after the RECOMMENDATION DETAILS section.
  3. Select the check box corresponding to the Deferral record that you want to delete, and then select the Delete button ().
    The Deferral is deleted.
